Billing & Support Policy

Scope of Services
We provide full-service medical billing support, including claim submission, payment posting, denial management, and follow-up for Motor Vehicle Accidents (MVA), Workers’ Compensation, and insurance claims. Custom services are available by request.

 

Communication & Support
We value transparency and quick response times.

 

  • Support is available via email and phone during business hours (Mon–Fri, 9 AM–5 PM PST).

  • We respond to inquiries within 1–2 business days.

  • Clients will receive monthly billing summaries and updates.
     

Claim Submission Timeline

  • Claims are submitted within 3–5 business days of receiving complete documentation.

  • Delays caused by missing or incomplete information will be communicated promptly.
     

Documentation Requirements
To process claims efficiently, providers must submit:

 

  • Accurate superbills or chart notes

  • Patient demographics and insurance details

  • Any necessary authorization or referral

 

Denials & Appeals
We handle all first-level appeals and basic denial management at no extra cost. Complex appeals may require additional agreement and fees.

Compliance
We follow HIPAA and all relevant billing regulations. Client confidentiality and data security are our highest priority.

Payment & Fees

  • Billing services are charged at an hourly rate, as outlined in your service agreement.

  • Time is tracked and invoiced biweekly (or monthly, based on your preference), with detailed logs of tasks performed.

  • Invoices are due within 15 days of receipt. A 5% late fee may apply to past-due balances.

  • Project-based or rush tasks may be billed at a higher hourly rate with prior approval.

Termination & Notice
Either party may terminate the agreement with 30 days’ written notice. Final account audits and summaries will be provided.
